GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Lagier-Tourenne Laboratory in the Department of Neurology at Mass General Hospital investigates the molecular mechanisms driving neurodegeneration in amyotrophic lateral sclerosis (ALS) and frontotemporal dementia (FTD). Dr. Lagier-Tourenne has established collaborations with academic and pharmaceutical partners to develop novel approaches to therapy, including gene therapies with antisense oligonucleotides (ASOs) and immunotherapies for ALS and FTD. The laboratory is part of the MassGeneral Institute for Neurodegenerative Diseases (MIND), the Harvard Brain Initiative and the Sean M. Healey and AMG Center for ALS that unites world's leading experts to revolutionize how treatments are developed for people with ALS. The team consists of about 15 people including faculty, research fellows and students from many countries around the world. We use emerging approaches in molecular and cellular biology and are supported by the NIH and philanthropic organizations to develop multidisciplinary research programs with national and international collaborators.

The Staff Assistant II provides the Lagier-Tourenne Laboratory with day-to day administrative support for the Director and associated Investigators. Additionally, the Staff Assistant will provide general administrative support to the program as well as support of specific tasks related to research organization. This position provides a unique opportunity to master comprehensive administrative tasks central to a large research program.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Day-to-day administrative support to the Director

• Provides direct support and meets regularly with the Director concerning administrative support needs and assigned special projects
• Schedules, coordinates, and organizes meetings, travel arrangements and other calendar items
• Compilation of materials for travel including itineraries
• Receipt and processing of travel reimbursements and business expense claim through PeopleSoft
• Schedules, organizes, and serves as point-of-contact for laboratory meetings and events; prepares agendas, takes minutes and provides other supporting materials
• Submission of e-Checks for invoice payment
• Assistance with Curriculum Vitae formatting, keeping within Harvard Medical School guidelines

General Program support

• Coordinate with department contacts to ensure fellows are credentialed and onboarded
• Onboarding of weekly non-employees, including summer interns
• Interview scheduling
• Maintenance of office (purchase orders, equipment, building, seating arrangement, badge access)
• Timekeeping through Kronoss
• Organization of events (party, photo shooting, team lunch, etc.)
• Tracking the annual vaccination and compliance training

Specific Research support

• Facilitates staff on- and off-boarding processes including coordination of interviews, scheduling of pre-hire and departure meetings, New Hire orientation and collection and maintenance of non-confidential HR and regulatory documentation.
• Collects, submits tracks and reconciles employee reimbursements
• Operates and maintains all suite office machines including faxes, printers, phones, computers, conference room equipment and copiers. Arrange for equipment maintenance or repair and keeps equipment/devices ready for use.
• Responsible for monthly inventory tracking and supply ordering. Tracks and reconciles purchases on research funds using web-based financial systems.
• Coordinates program-wide meetings, seminars and events; including scheduling, agenda development, room arrangements, set up/break down of room, refreshments, audio-visual aids, communications, guest speakers, and other related details.

Accepts other assigned tasks as delegated.

• Proficient computer skills (word, excel, ppt)

EDUCATION:

High school diploma required. Associate or bachelor's degree preferred.

EXPERIENCE:

Minimum of 2 years of related experience required.
