ADMINISTRATIVE ASSISTANT, MEDIA LAB-TANGIBLE MEDIA , Media Lab (part-time, 20 hrs/wk.), to provide support for a senior faculty member and the Tangible Media Group. Responsibilities include managing day-to-day spending involving the reconciliation of expenses; arranging expense reimbursements; handling complex purchase orders and contracts; independent contractor coordination; financial review and control (FRC) reporting; accounts payable; and maintaining all records, invoices, receipts, etc., according to MIT's record retention policy. Will also be responsible for use of MIT procurement and travel credit cards; working with fiscal officer to review budgets and spending regularly; scheduling principal investigator (PI) and group calendars, including monitoring deadlines and important events; scheduling and coordinating meetings and research demos; and proactively composing and responding to correspondence as an extension of the PI.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years of experience as an administrative assistant or related experience; ability to work collaboratively and effectively with a creative and diverse group of people; attention to detail and accuracy; ability to concurrently handle competing priorities, exercise sound judgment, and proactively anticipate needs; excellent organizational, customer service, and verbal and written communication skills; and high-level proficiency with Microsoft Office (Word, Excel) and Google Suite and comfort using new software. PREFERRED : associate's or bachelor's degree; experience with MIT business applications (SAPgui, Concur), Dropbox, Keynote, Filemaker, Evernote, and Trello; and experience with Japanese clients/culture.
