SENIOR ADMINISTRATIVE ASSISTANT , Microsystems Technology Laboratories (MTL) , to perform complex and diverse duties, under minimal supervision, in support of the director and leadership team. Will assist with coordinating multiple programs/projects, including MTL's international and industry collaborations and advisory board meetings; plan and coordinate high-profile events, including preparing guest lists, coordinating logistics (e.g., agendas, menus, etc.) with vendors, and engaging faculty/students/researchers across MIT; schedule diverse and complex appointments, meetings, and travel; prepare complex itineraries for multiple constituents, including developing visitor agendas and managing VIP visitor details; assist with general preparations for external sponsor visits, including managing interactions with the Microsystems Industrial Group; and organize executive seminars, coordinate special requests and arrangements, and plan the IAB annual meeting. Will also assist the administrative officer with project management, including creating/maintaining databases, defining and managing membership criteria for mailing lists, and handling communications tasks such as proofreading and content coordination and creation; and provide explanations and solutions on a wide range of day-to-day inquiries/issues.
Job Requirements REQUIRED : high school diploma; at least five years' administrative, office, or related experience; excellent time-management, organizational, customer service, and communication skills; meticulous attention to detail; initiative and willingness to continuously develop new skills; ability to serve as a point person representing MTL; and proficiency with Microsoft Office. Must be able to execute sound judgment; multitask, prioritize and follow through on a variety of projects, and meet deadlines; work independently and as part of a team; and interact effectively with faculty, staff, students, guests, and visitors. PREFERRED : bachelor's degree; experience with SAP, FileMaker Pro, Cognos, and QuickBase; familiarity with PCs and Macs; and experience updating websites. Job #18325-6
