This position serves as one of the primary contacts for the College's accounts payable and asset management processes and supports the entire campus community. Provides overall accounting support for the MassBay Community College Foundation and additional accounting support for the Student Accounts and Fiscal Affairs Departments including financial and data analysis, reconciliations and budget assistance.
Responsibilities and Duties:
Accounts Payable processing and management:
Responsible for performing all task and duties within the MassBay Community College (MBCC) accounts payable cycle for three campuses, including but not limited to the following tasks:
Manage weekly payment cycles, including the processing of daily mail and email, review all invoices for appropriate documentation and approval prior for payment, processing vouchers in PeopleSoft, matching payments to supporting invoices, preparing batch for review and signature by the controller and mailing;
Process e-payables; procurement card and Massachusetts Management Accounting and Reporting System (MMARS) transactions;
Educate the community and enforce college fiscal policies and procedures related to accounts payable processing;
Research payments or payments discrepancies and proactively pursue and resolve billing disputes with vendors;
Investigate and respond to inquiries from campus staff or vendors related to the status of vendor payments and assist college community with obtaining information from files;
Obtain and reconcile monthly vendor statements and search for open invoices;
Maintain all hardcopy and electronic vendor files for past and present fiscal years;
Maintain communication with vendors, faculty, and staff to ensure all accounts are current;
Reconcile the accounts payable ledger to the general ledger monthly;
Provide year-end reports for the State and in preparation for annual audit related to accounts payable;
Review vendor payments and prepare 1099/1096 annual reporting requirements;
Collaborate with related fiscal and business operations staff members to provide excellent accounts payable customer service.
Contribute to ERP system testing for upgrades and implementations;
Process all Foundation deposits (including credit card deposits), payments - including scholarship payments and Foundation related expenses;
Reconcile all Foundation bank accounts and monthly investment account;
Maintain and reconcile all fund balances in Quickbooks;
Provide monthly budget status and/or expense reports as requested by management and Foundation Board of Directors;
Assist in preparing and maintaining the annual Foundation budget;
Assist in preparation of year-end schedules as requested by auditors for the Foundation;
Other duties & responsibilities:
Assist Fiscal Affairs department with various cash reconciliations and keeping all permits current;
Assist in the accounting for and performing of inventory counts;
Work with the state's Operations Services Division (OSD) to surplus and dispose of assets;
Enter approved contracts into the accounting system to ensure vendor payments are made according to contract schedule;
Assist in preparation of year-end schedules as requested by auditors for the College;
Develop, implement and continuously update accounting procedures by analyzing current procedures and recommending changes;
Updates job knowledge by participating in educational opportunities;
Provide excellent customer service to internal and external customers of the fiscal office;
Assist in annual and off-cycle audit preparation as part of the fiscal team;
Provides support for special projects;
Performs other duties as assigned.
This is not considered all-inclusive. A supervisor may assign other duties as required to meet the needs and foster the mission of the College.

Applicants must have at least (A) two years of full-time, or equivalent part-time, professional experience in payroll, accounting or auditing, or (B) any equivalent combination of the required experience and the substitutions below.
I. An Associate's degree with a major in accounting, business administration or business management may be substituted for a maximum of one year of the required experience.*
II. A Bachelor's or higher degree with a major in accounting, business administration or business management may be substituted for the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Salary Range: AFSCME Unit I, Grade 16, Step 1 $46,790.38 annually. Appointments from outside the bargaining unit begin at Step 1 of the range.
