ADMINISTRATIVE ASSISTANT 2 , Chancellor's Office-Institute Discrimination and Harassment Response Office (IDHR), to provide secretarial and administrative support for the IDHR Office, which is responsible for investigating complaints alleging discrimination and coordinating accommodations and interim measures. Will type, edit, proofread correspondence and memos; assist with record keeping and file maintenance; coordinate travel arrangements; order and maintain office supplies; staff committees; manage schedules; and duplicate and distribute material. Responsibilities include responding to and ensuring inquiries are addressed and resolved; resolving non-routine problems; composing and editing basic documents. coordinating mass mailings; photocopying and collating materials; maintaining filing systems; ordering supplies; handling meeting logistics, e.g., scheduling, catering, AV, set up/clean up, etc.; using Drupal for website maintenance; reconciling accounting statements, preparing purchasing and accounting forms, and verifying credit card charges and collecting backup; handling travel arrangements and reimbursements; maintaining and circulating meeting notes; organizing investigation reports; serving as staff to the Committee on Sexual Misconduct Prevention and Response, including handling meeting logistics and taking minutes; utilizing Maxient to assist with client data management; researching and gathering information for projects; assisting with the coordination of major events; and performing related duties as requested, including performing work performed at lower levels.
Job Requirements REQUIRED : at least three years' directly related experience; excellent organizational, administrative, interpersonal, communication, writing, grammar, proofreading, and typing skills; flexibility; ability to quickly respond to shifting priorities; attention to detail; initiative; ability to work independently and collaboratively; discretion with sensitive and confidential matters; and excellent computer skills and knowledge of Word, Excel, and electronic mail programs.
