About the Opportunity: The Facilities Event Specialist will be responsible for the management and coordination of major university events and all external events taking place in Athletic Facilities. Work closely with clients and any and all vendors including external security, NUPD, catering, custodial and facilities event services staff. Coordinate Facilities Event Services by working with trades and services and managing the Facilities Event Service Request platform. Duties Include:
Manage Facilities Event Service Request Form (ESR).
Coordinate client communication to determine event needs and final setups.
Hire, train, schedule and manage part-time Event Representative' staff who manage and provide services to smaller scale events.
Manage relationship with security contractor and NUPD during events including staff management (deployment, re-deployment, releasing staff, etc) to address needs and manage expenses.
Generate requisitions and purchase orders.
Consult with clients as to their technical needs such as event set-up, electrical, sound and lighting requirement, audio/visual considerations for each event.
Develop, maintain and distribute master major events calendar
Distribute weekly events report to Facilities Services, Trades and Projects teams.
Maintain relationships with key City of Boston regulatory agencies
2-4 years of Event Management experience in college athletics, professional sports, conference and event center or other relevant industry.
Staff management and supervision.
Basic knowledge of electrical, HVAC, plumbing and fire safety systems.
Practical knowledge of City of Boston fire code.
Working knowledge of SocialTables or other digital room setup software
Experience with obtaining bids from multiple vendors.
