The Department of Global Health and Population (GHP) seeks to improve global health through education, research, and service from a population-based perspective.
Reporting to the Senior Manager of Administration, the Administrative Assistant serves as the first point of contact and information source for the Department of Global Health and Population. The Administrative Assistant is seated at the front desk and provides for smooth day-to-day flow of communications within the department by greeting visitors, answering and routing calls, emails and inquiries.
This position is responsible for general office management duties, including, but not limited to:
Receiving and distributing mail
Ordering supplies in HCOM on behalf of various programs
Tracking conference room reservations and making sure rooms are equipped
Maintaining inventory of office supplies and equipment
Restocking copy and print materials
Ensuring departmental common spaces are neat and organized.
Assisting in coordinating event logistics for department activities. More specifically this includes, marketing/publicity (including social media), reservations and scheduling, placing and receiving catering orders, conference room setup and cleanup, and providing technical assistance with electronic equipment and audio-visual needs
Performing other duties as assigned

3+ years of related experience required; a combination of education and experience may be considered
BA/BS Degree is strongly preferred
Experience supporting faculty and staff within a fast paced office setting preferred
Comfortable multi-tasking and follows through on tasks preferred
Excellent verbal and writing skills preferred
Strong computer and technical skills, with experience using MS Office (Outlook, Word, Excel, and PowerPoint), Adobe preferred
Experience using Harvard's administrative systems strongly preferred (e.g. HCOM) preferred
Strong attention to detail and consistently completes detailed work with few or no errors; excellent interpersonal skills and the interacts in a diplomatic and professional manner with staff, students, and faculty; exhibits sensitivity to cultural differences and have demonstrated the effective communication with a diverse group of people; proactive, takes initiative and performs duties with minimal supervision while at the same time communicating task progress to manager and/or staff; flexibility and adaptability to changing and shifting priorities preferred
