ADMINISTRATIVE ASSISTANT 2 , Office of Engineering Outreach Programs (OEOP) , to perform complex and diverse administrative duties in support of the executive director and the overall OEOP office. Will manage the calendar, reimbursements, and sometimes complex travel arrangements related to resource development and recruitment for the executive director; assist with answering office and general program inquiries from in-person visitors and via telephone phone e-mail; greet and assist guests of the office; compose and edit documents for key stakeholders (e.g., donors, alumni, and partners); coordinate OEOP event logistics; maintain the OEOP calendar; order office supplies; assist with maintaining records, databases, and listservs; contribute to the onboarding of over 100 temporary program staff; coordinate parking for staff and guests; maintain financial and confidential files; and process a range of financial transactions and reports and monitor spending for compliance with policies and procedures, along with the manager of finance and administration. Will also attend additional OEOP student, alumni, and fund-raising related events; and perform other administrative, clerical, and financial duties as necessary.
Job Requirements REQUIRED : a high school diploma or its equivalent; at least three years' office, administrative, or related experience; strong interpersonal, organizational, time-management, and written and verbal communication skills; ease with both telephone and in-person contacts; and a demonstrated commitment to diversity and serving diverse constituents. Must be able to handle multiple tasks simultaneously; prepare minutes and short documents; perform word processing, database, and accounting functions including some troubleshooting and system updating; maintain confidential information; remain flexible; and demonstrate good decision-making during unexpected situations. Experience collaborating with in-person and remote teams a plus. A bachelor's degree and MIT experience preferred. Job #18017-5
