The position is responsible for many of the day-to-day administrative functions that are in line with the research and teaching missions of the Program of US-Japan Relations. Implements and coordinates event marketing, invitations, and registrations for multiple events, including weekly seminars, conferences, Distinguished Visitor dinners, receptions, language tables, and other community-building events. Assists in enhancing and updating Program's online and social media presence. Maintains Program's calendar and database. Assists with the integration of international research fellows into Harvard and the wider Boston-Cambridge community. Develops and maintains good rapport with constituents in order to carry out all the events within the Program. Collects and organizes information for annual reports; drafts official correspondence; and assists in proofreading materials. May serve as departmental IT contact. Other duties as required.
Three or more years of administrative experience. Education beyond high school may count toward experience. Computer skills required, including experience with Microsoft Office Suite, Adobe Suite, FileMaker Pro, and OpenScholar, as well as social media services such as Facebook and MailChimp.
B.A. preferred; 3 years of related office experience, particularly in a university setting. Appropriate communication skills. Well-developed cross-cultural and interpersonal skills. Ability to work independently and as part of a team. Excellent time management and organizational skills. Attention to detail. Ability to handle complex and confidential information with discretion. Familiarity with the Japanese culture and language preferred. Familiarity with Harvard also preferred.
