About the Opportunity: The Facilities Procurement Specialist will play a key role in coordinating and overseeing all procurement for the Facilities Division operational purchase orders. This person will be responsible for ensuring that the Facilities Division complies with Procurement's policies and procedures, including but not limited to negotiating with vendors, obtaining bids, soliciting pricing, tracking rate sheets, obtaining vendor W-9 forms, preparing procurement documentation to obtain purchase orders, assigning index and account codes to each transaction, and coordinating and storing procurement documentation.
Responsibilities: Assist in the preparation of procurement documentation to ensure Facilities Operational Division adheres to Procurement's policy and procedures including but not limited to negotiating with vendors, obtaining bids, soliciting pricing, tracking rate sheets, obtaining vendor W-9 forms, obtaining vendor justification forms, assigning index and account codes to each transaction, and organizing/preparing procurement documentation in Banner to obtain purchase orders.
Maintain Meridian requisition database including storage of all requisitions, backup and updated yearly W-9 forms. Create new vendor profiles and ensure existing vendor data is accurate and up-to-date. Export requisition back-up to Procurement for purchases over $10,000. Store yearly rate sheets on the Q drive for management accessibility.
Responsible for preparing monthly uploads for Facilities Sign Shop, Carpentry Shop, Public Safety, and internal expenses. Reconcile the expenses on a monthly basis. Store uploads' backup on the Q drive. Organize and coordinate the electronic storage of all monthly fiscal documentation on the Q drive. Create a separate storage for all monthly related e-Builder documentation.
Qualifications: Bachelor's Degree preferred, with a minimum of 2 years of related experience in a large, busy environment. Experience with construction and facilities operations preferred. Must be able to communicate professionally and effectively at all levels and must possess problem solving and critical thinking skills. Ability to handle several projects simultaneously. Extensive computer experience and expertise in Microsoft Office applications (Word and Excel) required. Knowledge of Banner Financial Records System and Meridian software a plus. Must possess excellent verbal and written communication and interpersonal skills; good working relationships must be developed with diverse internal/external groups. Must be a proven and disciplined self-starter who can make informed decisions and work independently. Attention to detail and organization is critical.
