The Administrative Coordinator provides administrative, technical or operations support to the School of Nursing; assists with detailed projects, and coordinates the day-to-day administrative support activities for the department. The Administrative Coordinator is responsible for a broad scope of administrative or operational support functions, examples of which may include the following:Responsibilities: Oversee and coordinate the administrative work flow, assign tasks and delegate responsibilities to Administrative Assistants;follow through to ensure work is completed in a timely manner for the department Serve as primary point of contact for the department head. Triage all communication, contacts, and correspondence with the office Manage calendar of department head and administrators using Outlook Draft and prepare correspondence for the department head or administrators. Manage and distribute documents as requested Oversee and track the departmental budget. Manage the financial processing for the office, including tracking of purchase orders and expenses. Ensure University financial policies are followed. Monitor department budgets and report any significant deviations from approved budgets. Interact with appropriate personnel to resolve expenditure issues. Provide management reports and budget analysis for line items Oversee temporary employees (e.g., temporary administrative workers, proctors) and student workers. Complete timesheets or pay authorizations Provide assistance to resolve administrative or operational issues for the department Schedule department meetings; manage meeting logistics, including preparing meeting materials, securing space, recording minutes and tracking of action items and follow-through Within academic departments, assist with support functions including operating the Scantron machine for grading exams and running reports; creating and deploying course evaluation surveys through web-based software product, CoursEval; participating in pre-registration process and in Add/Drop sessions using DataTel software; designing Blackboard as requested for classes, program assessments and informational sites; recording student attendance at the start of the semester using OnColl scanning system,and training staff on use of scanning system Provide administrative support to department committees (e.g., academic standing; curriculum; task forces, search committees) Update department web pages using SiteCore Participate in orienting new employees (faculty or staff) in the department Develop and maintain databases and spreadsheets Prepare reports, PowerPoint presentations and flow charts Serve as back-up for other administrative support positions in the department Coordinate equipment maintenance for department equipment (e.g., photocopiers; fax machines) Serve as centralized point of contact for records collection and retention, according to department needsAdditional responsibilities may be assigned by the supervisor.Qualifications:Required: A minimum of a high school diploma and three years of experience in a professional setting in a senior level administrative assistant position Knowledge and proficiency using MS Office Programs (or any other software specific to the job) Strong interpersonal skills and customer service skills Ability to communicate effectively and diplomatically both orally and in writing with employees at all levels within the institution Ability to be reliable, punctual and efficient in job performance Ability to complete assigned projects in a timely and accurate manner.
