ADMINISTRATIVE ASSISTANT , Media Lab , to provide varied and complex administrative support to Media Lab research groups. Responsibilities include managing professors' calendar, travel, and itineraries; reconciling procurement card charges, completing expense reports, reimbursing expenses, making purchases for professors and research group members, preparing purchase orders, reviewing financial review and control reports, and paying invoices; establishing/maintaining effective office operations for the group; greeting visitors and coordinating sponsor visits/research demos; ordering food for meetings/events; meeting set up and clean up; triaging inquiries; assisting students and research group with travel arrangements and reimbursements; preparing, proofreading, and editing documents; maintaining and updating CVs and biosketches; responding to emails directed by professors; preparing course materials; updating group website; tracking spending and maintaining budgets; drafting basic correspondence and other documents such as job descriptions, etc.; orienting new people to research group's administrative processes; assisting with organizing larger meetings/conferences; and performing other duties as assigned.
REQUIRED : high school diploma; at least three years' experience as an administrative assistant for senior managers; flexibility; ability to handle a wide variety of duties and work with critical time demands; excellent organizational and verbal and written communication skills; discretion and diplomacy; attention to detail and accuracy; ability to multitask in an environment with competing priorities; and advanced-level computer skills including proficiency with Macs and Microsoft Office. Seek a team player who is able to work effectively with a creative and diverse group of people and contribute to each group's community. Bachelor's degree and SAPgui and Concur experience preferred.
