Principal Duties and Responsibilities
The staff assistant performs a variety of complex administrative/support duties to coordinate the activities and procedures of the Nieman Foundation. Serves as initial point of contact and provides excellent customer service to visitors and callers. Supports Nieman fellows and affiliates by responding to requests for information and assistance and contacts appropriate staff as needed. Supports the curator with scheduling, travel arrangements, correspondence, expense reports, and meeting-related activities. Provides for smooth day-to-day flow of communications within the unit. Updates supervisor and other staff members on status of projects. Purchases and maintains supplies. Answers main phone line, assisting callers, taking messages, and routing calls as needed. Maintains phone lines/orders using Torte system. Receives deliveries and distributes mail. Photocopies and faxes documents as needed. Responsible for cataloging new books/materials and maintaining subscriptions. Responsible for updating entries and running reports in Advance and FileMaker. Ensures proper handling of confidential data. Provides support relating to financial processes, including PCard reviews, vendor setups, and invoice and corporate card payments. Supports Nieman Reports publication in a variety of administrative functions, including updating the mailing list, mailing packages and issues. Responsible for processing invoices and contracts for Nieman's three publications – Nieman Storyboard, Nieman Reports, and Nieman Lab, including working with the editors of each publication to draft contracts, communicating with freelance vendors about paperwork, and ensuring that all required documentation is properly received and filed. Provides occasional support for Nieman events. Works independently with minimal supervision. May monitor work of students, casuals and temps. Related duties as required.

Candidates MUST meet the following basic qualifications in order to be considered for this role:
Three years of related experience, education beyond high school may count towards years of experience.
College degree preferred. Exceptional customer service, organizational, and interpersonal skills. Excellent communication and computer skills. Ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion. Experience with Advance, FileMaker and Harvard's financial applications preferred, as well as knowledge of the University. Strong problem-solving skills. Ability to multi-task, take initiative, handle frequent interruptions, and use discretion with sensitive and confidential information. Must work well independently, but also in a team environment. Flexibility and willingness to take on new responsibilities as needed. Ability to interact with people from various cultures and nations in a respectful and helpful manner. Occasional flexible work schedules required during certain evening and weekend events.
