The Fiscal Control Assistant will provide administrative, organizational support to the operations maintenance staff for the Facilities Fiscal Division under the supervision of the Director of Administrative and Fiscal Affairs. Responsibilities include assisting the Maintenance Supervisors with their day-to-day fiscal responsibilities including: preparing purchasing requisitions; obtaining quotes, proposals and rate sheets; assisting in the bid process for purchases over $10,000; verifying and coordinating the daily invoices for supervisors; creating and maintaining excel spreadsheets for each supervisor, detailing daily activity of purchases; verifying invoice pricing, work order completion and purchase order balances. Act as e-Builder liaison for Facilities operations staff including entering heavy maintenance commitments, processing invoices and ensuring that the paperwork meets the University Procurement and Accounts Payable guidelines. Assist and coordinate the Supervisors' e-Builder documentation review process to ensure materials are reviewed and meet the University's operations standards; complete the e-Builder process for the supervisors.
Bachelor's Degree preferred, with a minimum of 2 years of related experience in a large, busy environment. Experience with construction and facilities operations preferred. Ability to handle several projects simultaneously. Extensive computer experience and expertise in Microsoft Office applications (Word and Excel) required. Knowledge of Banner Financial Records System and e-Builder Construction Management Software a plus. Must possess excellent verbal and written communication and interpersonal skills; good working relationships must be developed with diverse internal /external groups within the Facilities Division. Must be a proven and disciplined self-starter who can make informed decisions and work independently. Attention to detail and organization is critical.
