The Operations Division serves the four Tufts University campuses: the main Medford/Somerville campus, the Boston Health & Sciences campus, the School of the Museum of Fine Arts at Tufts and the Grafton Veterinary campus together encompassing 170 buildings and 5.5 million gross square feet. The Division oversees a broad range of services are provided to support the university campuses including facilities services, capital program management, campus planning and renewal, campus engineering and energy management, and public and environmental health and safety.
The Work Control Center is the hub of daily activity for maintenance and support services involving our campus buildings, grounds and supporting services. The Work Control Center (WCC) Manager reports directly to the Executive Director, oversees a team of Control Center technicians and is responsible for the management of all incoming work, emergencies and planned maintenance activities across the University. The Manager is responsible for management of the Computerized Maintenance Management Software (Maximo) encompassing the operation of the Work Control Center in the initiation of work requests, response to building automation and alarm-initiated conditions, work order planning, scheduling and close-out. The Manager owns the Intake, Planning/Scheduling, and Closeout phases of the work management process and ensures its effectiveness in supporting of base operation and the Asset Management Program. The WCC Manager is responsible for developing program protocols and overseeing the operational execution of the Building Automation System and Alarm program including development and documentation of work processes.
The Work Control Manager leads the weekly scheduling meetings and coordinates technician assignment with the appropriate Facilities Manager. The position identifies work requiring engineering design and reviews such work with the Facilities Management Director or his/her designee. The Manager maintains a thorough understanding of the maintenance backlog and level of deferred maintenance and provides recommendations to reduce both as opportunities occur. Will also keeps accurate metrics on the performance of the planning and scheduling functions and provides reports, as required.
Responsible for administering a centralized Operations Division response and communication plan in conjunction with Facilities, Engineering, EH&S, Operations Communications, and other units in the Division.
The Manager will play a key role with respect to the design and enhancement of Center practices and procedures during a transformative period for the University as our operating and CMMS systems and processes are redesigned and augmented in connection with the implementation of a Division-wide Asset Based Management program and practice.
Minimum Required Experience, Education, Background, and Certifications/Licenses
Any combination of training, education, and experience equivalent to graduation from an accredited college or university with a Bachelor's Degree in Industrial Engineering, Facilities Management, Business Management or a related field
5+ years of experience in implementing business processes and process improvements preferably in a facilities maintenance or operational setting.
Supervised employees in the construction, professional facilities trades or comparable profession
The ability to multi-task in a fast-paced environment while consistently demonstrating a professional and courteous demeanor
Leadership skills; the ability to lead others toward a sustained high level of customer service
Excellent verbal and written communication skills
Substantive experience with computerized maintenance management systems (CMMS), preferably Maximo
Working knowledge of building and safety code requirements; building, electrical, plumbing, and HVAC maintenance, repair, and construction methods
Working knowledge of estimating practices and current labor and material costs
Working knowledge of AutoCAD; Uniform Building Code; BOMA Standards; ADA Regulatio
Ability to prepare bids, technical specifications, and contract/service agreements
Experience with managing service providers and service contracts
General understanding of troubleshooting Instrumentation and Control Systems
Special Work Schedule Requirements:
Required to be on site during emergency situations related to weather and/or man made such as power outages and scheduled utility shut downs.
