ADMINISTRATIVE ASSISTANT II , Computer Science and Artificial Intelligence Laboratory (CSAIL) , to perform complex and diverse duties in support of the PIs of the Vision and Computer Graphics group, providing comprehensive administrative support for multiple programs and projects. Will be responsible for coordinating events, preparing documents, purchasing supplies, arranging travel, and developing and maintaining web pages. Responsibilities include basic website management/maintenance; responding to inquiries; maintaining databases including GitHub, Dropbox and svn/rcs; calendar management; making travel arrangements; updating bio sketches; composing and editing correspondence/documents; using desktop publishing to create drafts of work-area publications; coordinating mailings; attending meetings and handling the minutes; maintaining filing systems; ordering supplies; gathering information for grants reporting; collaborating with the financial officer to understand the funding resources and keeping the PIs updated on funding needs/issues; handling budgeting for conferences; booking travel and processing reimbursements; coordinating high profile events (i.e., preparing agendas/presentations/invitations/materials, booking venues, arranging catering, travel, etc.); prepare complex itineraries for multiple constituents; and perform elated duties as requested.
REQUIRED : a high school diploma or its equivalent; at least three years' administrative or related experience; excellent organizational, interpersonal, and communication skills; meticulous attention to detail; proficiency with Microsoft Office and Apple- and PC-based computing; experience arranging travel, paying invoices, purchasing, and reconciling accounts; good judgment with confidential information; and ability to prioritize multiple simultaneous tasks, problem solve, work effectively with people at all levels, and function both independently and as part of a team.
