Reporting to the Chair of the Department of Political Science with a dotted line report to the Director, International Studies Program, the Academic Administrative Assistant provides a wide range of administrative support to facilitate effective coordination of department and multidisciplinary program activities.
This is a position which will support two offices, with approximately 5/6 of the week devoted to the Department of Political Science and 1/6 of work week in support of the International Studies program. During busy work times, the workloads in each department may cause the ratio of dedicated hours to increase or decrease.
The Academic Administrative Assistant will maintain a welcoming and supportive atmosphere within the department, communicating professionally with faculty, staff, students and other visitors, including prospective students and their parents. Maintain general office and faculty files, order supplies, equipment and teaching materials. The Administrative Assistant is responsible for department budget through the use of Chrome River, Adaptive Insight and PeopleSoft. Hire, train, supervise and monitor the schedule of work study students. Schedule and organize meetings, events and functions. Maintain department website, Facebook page and other social media as well as department communications.
Bachelor's Degree preferred. Proficient with personnel management, interpersonal relations, and budget and operations. Proficiency with systems applications for financial systems, human resource management, purchasing, and curriculum management is required. Must be detail-oriented and extremely well organized, be able to multi-task and be able to prioritize assignments, possess excellent interpersonal and communication (written and verbal) skills, be flexible and a team player, and exercise tact and discretion when dealing with sensitive issues. Knowledge of Google applications (Gmail and google docs), Microsoft Office applications-Word, Excel, PowerPoint. The ability to maintain web pages in Drupal is preferred.
