Position provides administrative/secretarial support to a high level position such as Division Chief or Assistant Dean.
PRIMARY DUTIES AND RESPONSIBILITIES:
Supports the Division Chief and Associate Division Chief with all administrative functions in including but not limited to maintaining calendars, schedules meetings and appointments, preparation or review of academic papers.
Supports Fellowship Coordinator with lectures and meeting schedules, coordinating applicant travel plans, etc.
Maintains confidential administrative and correspondence files.
Prepares correspondence, material for meetings and presentations, takes minutes and transcribes material as requested.
Coordinates travel arrangements including lodging, visas, passports, expense reports, reimbursements and honoraria for faculty and APPs in leadership positions.
Answers phone, takes messages and screens calls providing information in accordance with organizational policy.
Assists with grant/report preparation and presentation.
Assists office staff during vacations/illnesses.
Orders supplies for the office.
Coordinates food for multiple weekly meetings for the faculty and ICU conferences.
Equivalent of High School diploma with 2 years college or secretarial training.
3-5 years secretarial experience required.
Working knowledge of Microsoft Office (Excel & Word), EndNote, and general office equipment.
Very good communication skills, both verbal and written.
A positive disposition and flexible attitude when dealing with a diverse population.
Excellent organizational skills and discretionary judgment.
The hiring range for this position is $18.44 - $23.52 per hour.
